Retrospection meetings play a vital role in driving continuous improvement. The more effective these meetings are, the higher the team's performance will rise.

Most of the agile teams want to perform retrospection to tick off the box of completing the meeting. But only some teams use its benefits.

Without an effective retrospection meeting, the team cannot continuously improve and will not reach the goals in relatively less time.

Hence as new managers, it is important to conduct retrospection meetings with utmost care and make them as useful as possible.

In this blog, I will provide 5 simple steps that can be used to conduct the retrospection meeting and use its benefits.

Following are the common mistakes that are made by New managers while conducting retrospection meetings.

**Mistake#1**: Anonymity  
Even in a well-established team, members like to be anonymous while providing feedback.

If the psychological safety of the team members is not valued, then the effectiveness of the meeting will be reduced.

**Mistake#2**: No Agenda/Structure  
Without having a clear structure or agenda for the meeting, productivity will be reduced.

The discussion will be unfocused which might lead to missed insights and an unproductive session.

**Mistake#3**: No Action Item  
One of the most ignored steps in such a meeting is concluding the meeting with no action items.

No matter how well the meeting was conducted, if there is no conclusion in the form of action items, the value of a retrospective meeting is lost.

Here are 5 simple steps that you can follow to make retrospective meetings effective.

5 Simple steps for conducting a productive retrospection meeting

**Step#1**: Create psychology safety  
Before the meeting, start by explicitly stating that all feedback is valued and that the meeting is a safe space for honest discussion.

Use tools that allow for anonymous feedback to make team members feel more comfortable sharing their true thoughts.

Establish meeting rules that everyone agrees to them at the beginning of the meeting.

As a manager make sure everyone feels heard, to reinforce that their opinions do matter.

**Step#2**: Discuss about what went well  
Next, begin the meeting by asking team members to share positive outcomes from the sprint.

Highlight significant achievements and recognize team members who made such contributions.

Use a shared document or board to list all the positive feedback for future reference and motivation.

Ask for detailed examples of what went well to understand the factors contributing to success.

**Step#3**: Discuss about what could be better  
Next, prompt the team with open-ended questions. For example, “*What challenges did we face?*” and encourage detailed responses.

Ensure the feedback is focused on processes and workflows rather than individual member performance. This will help to keep the discussion constructive.

Ask the team members to put the information on a collaborative document or a board to identify recurring issues or themes in the feedback.

Have a team vote on the most critical issues to focus on finding a resolution.

**Step#4**: Decide on action items  
Next, once all the feedback is reviewed, group into specific, actionable steps that address the issues discussed.

Assign each action item to a team member to ensure accountability and ownership.

Establish timelines for when the actions should be completed to maintain momentum.

Schedule a follow-up meeting to review progress on the action items and adjust as needed.

**Step#5**: Pick one thing to be implemented in the next sprint  
At the end, before concluding, each team member votes on the most crucial action items that must be improved for the next sprint.

An action item that everyone agrees to work on will ensure buy-in and drive continuous improvement.

Once the meeting is over, send the decision and action items as minutes of the meeting to everyone for documentation purposes. Or you can create a shared document that is accessible to everyone.
